CIC Resource Sharing Agreement
(approved by the CIC Library Directors on June 4, 2004)
SCOPE
The CIC Libraries, who sign this agreement, consent to share with one another at no charge and as broadly as possible, items from their collections, keeping in mind the goal of meeting all CIC user needs as effectively as possible. CIC Libraries participating in this agreement include most if not all of the different libraries on each of the CIC campuses.
A list of participating libraries may be found at:
CICResourceSharingMemberInstitutions While there may be some local justification for either limiting or restricting a loan or for not lending an item at all, such restrictions, in light of the resource sharing philosophy to which the CIC is committed, should be avoided. It is understood that certain types of materials (e.g. rare, fragile, non-print or otherwise non-circulating materials) might be lent through a negotiated process. Further it is understood that individual libraries may set limits on the number of volumes, reels, fiche etc, which may be sent to fulfill any one request.
PRIORITY SERVICE
CIC lending and document delivery is a high priority at all CIC institutions. It is recognized, however, that many CIC institutions have other consortial commitments that are also a high priority. Every effort will be made, however, to give CIC requests the fastest possible service.
CHARGES
All processing fees will be waived between CIC institutions, including rush fees, overdues, and fees for photocopying of less than 75 pages. Photocopy requests for more than 75 pages or for special formats may be charged at the lender’s discretion with notification to the requesting library when costs are above any limit specified by that requester. No fees pertaining to replacement or repair of lost or damaged materials are covered by this agreement. CIC libraries will promptly pay the lender’s charges for lost or damaged materials.
LOAN PERIOD
The standard CIC loan period is four (4) weeks with one four (4) week renewal. The loan period should include the time the material is in transit.
PERFORMANCE STANDARDS
All requests will be sent electronically. Lenders will respond within 48 hours, preferably faster.
DELIVERY
Shipping method for loans:
The preferred delivery service is the CIC carrier (currently Lanter). Libraries organized within one CIC institution may choose to set up a campus routing system that will allow them to take advantage of the CIC Lanter delivery with one drop off/pick up site designated for those libraries. CIC Lenders should be able to use the CIC delivery service to fulfill a loan request. If a library elects to use or request expedited delivery service other than the CIC carrier, then provisions need to be in place for return or receipt of items via CIC carrier.
Electronic document transmission:
All articles/documents will be delivered electronically unless the resolution will be impaired by using this method (as in bad copies from microfilm, very small typefaces and/or charts and formulae which are not clear). In lieu of electronic transmission, the CIC carrier or another expedited carrier will be used.
VOLUME
There is no limit to the number of requests a member library may request. CIC libraries are encouraged to use this program in whatever fashion they believe will provide the fastest, most cost effective service for their patrons.
